Rates
The hotel accommodation booking form
is only valid for participants at the FIDIC 2008 Quebec Conference (7 - 10 September 2008). The completed form
with payment details should be faxed to the hotel of your choice.
To benefit from any conference promotion rates, payment for a one-night deposit must be received
by the hotel not later than the dates given above for each hotel. This deposit will be at the rate confirmed by
the hotel upon making the booking. Subject to availability, this
rate will be given by the conference rates given above and will include taxes. The one-night deposit guarantee is refunded if the
booking is cancelled before a date specified for each hotel.
Subject also to availability, the
rates will apply for bookings that start and end before and after the dates of
the conference (7 - 10 September 2008). The organizers do not guarantee that the rates given
above are the
most advantageous available. Please write or type information in full, one form for each conference registration. The rates are the Single occupancy
(one person) or Double occupancy (two persons in the same room); some hotels can accept a third person in the room for
an additional charge. Check-in is
generally at 13.00 - 14.00 and check-out at 12.00.
Three hotels offer promotion codes for special conference rates. The code must
be quoted on making a reservation. Only the conference venue hotel allows the
conference promotion code to be applied to a reservation made over the
Internet. So generally speaking, a participant will need to email, fax or
telephone a reservation for which a promotion code can be applied. Generally
speaking, the conference rate covered by the promotion code is subject to
availability, and it may not necessarily be the best rate available.
Cancellations, no-shows and changes
The amount corresponding to the deposit guarantee will be debited from
the credit card used to reserve the accommodation at a certain time before
arrival. This may be at 16.00 on the date of arrival, or in some cases up to
two days before arrival. Participants are asked to check with the hotel for the
exact cancellation date that applies. If the reservation is cancelled before
the cancellation time any deposit will be refunded. If the deposit is not paid
or guaranteed before this time the reservation will be cancelled. The rate used will be the rate confirmed on making the booking.
This will be given by the conference rates given
above. Settlement at the hotel on departure is normally by cash or credit card.
In the event of a no-show,
a cancellation fee equivalent to the one-night deposit to guarantee the
reservation at the rate confirmed on making the
booking will be payable if the cancellation is made after a date specified by
each hotel. As the number of rooms available at the conference rates
is
limited, please book as early as possible. In the case of changes to a
reservation after 7 August 2008, the cancellation fee may apply..
Payment
Please check the terms and conditions of reservations. In some cases a
refundable deposit (generally of one night) is required (but is sometimes not
mandatory and may not apply). Payment of any one night one-night refundable
deposit guarantee must be completed by the dates indicated above to profit from
any special conference promotion rate and to reserve accommodation. This should
be paid by credit card by giving card details on the booking form. Some hotels
may accept payment of the deposit by bank transfer, but usually they will
require payment for the full amount of the accommodation. In exceptional cases,
and upon request, payment of the deposit can possibly be made by bank transfer.
In this case, please fax your booking form to FIDIC (+41-22-799 49 01) and
arrange for a bank transfer to FIDIC equivalent to the full accommodation plus
a Euro 20 fee to cover bank charges (FIDIC will inform the participant of the
amount that must be transferred.
